Overview
SMILES provides scheduling, booking, job management, team operations, payments, and optional mobile-service tools for independent professionals and service businesses. This policy explains the information the platform processes and the choices available to account holders and clients.
Information we process
Depending on the features used, we process workspace and account information, client contact details, booking and job information, service locations, scheduling data, payment status, uploaded proof photos, support communications, device and session information, and mobile location updates during enabled mobile workflows.
How information is used
Information is used to authenticate users, operate workspaces, schedule and complete services, process or reconcile payments, send transactional notifications, provide customer support, prevent abuse, maintain security, and comply with legal obligations. We do not sell personal information.
Service providers
The platform relies on service providers that may include Supabase for database infrastructure, Render for backend hosting, Netlify for frontend hosting, Stripe for payments, Google for optional Maps and Sheets integrations, and email or notification providers. Each provider processes information according to the features a workspace enables.
Location, camera, and notifications
Location is used only for mobile-service features such as active-job tracking and routing. Camera or photo access is used for attachments and proof-of-service images. Notifications are used for booking and job updates. Mobile applications will request these permissions when the related feature is used, and users may change permissions in device settings.
Workspace data and client requests
Each service business controls the client and job information entered in its workspace. SMILES processes that information to provide the platform. Clients should contact the service business first to review, correct, or delete booking information; workspace owners may contact SMILES for platform-level assistance.
Retention and deletion
Workspace owners may request deletion from Company Settings. A request begins a 30-day recovery period during which it may be cancelled. After that period, the request is queued for verified support processing. Permanent deletion is complete only after SMILES confirms completion. Limited payment, fraud-prevention, tax, dispute, security, or legal records may be retained when required, isolated from normal product use, and deleted when the applicable requirement expires.
Children and communications
The platform is intended for service businesses and their customers and is not directed to children under 13. Transactional messages may be sent for account, booking, payment, security, and service updates. Promotional marketing is not part of the controlled pilot and will not be enabled until required sender identification, unsubscribe controls, and business contact information are configured.
Your choices
You may review and update workspace information, disconnect integrations, withdraw optional device permissions, or request account deletion. Clients should contact the service business that collected their booking information; workspace owners can contact SMILES support for platform-level requests.
Security and contact
Data is transmitted over HTTPS and access is restricted through authenticated, workspace-scoped requests. No system can guarantee absolute security. Questions or privacy requests may be sent to smilesinroute@gmail.com.
